By booking a tour with TripClub (Hereinafter referred to as "The Company", "We", "Us"), the lead passenger (Hereinafter referred to as "The Client", "You") agrees to the following terms on behalf of all persons in their booking.
1. THE "GUARANTEED DEPARTURE" PROMISE & TRANSPORT TIERS
We are committed to operating every scheduled tour date. However, the mode of transport and on-ground logistics are subject to the final group size. You acknowledge and accept the following tiered structure:
Tier 1 (1–3 Passengers): Touring will be conducted via Private Sedan, High-Speed Train, or Public Shuttles where appropriate. A "Driver-Guide" (English-speaking driver) will facilitate transfers. Certain city tours may be conducted on a Seat-in-Coach (SIC) basis with a local partner.
Tier 2 (4–9 Passengers): Touring will be conducted via a Private Luxury Minivan (e.g., Mercedes V-Class or similar) with a dedicated English-speaking Driver-Guide.
Tier 3 (10+ Passengers): Touring will be conducted via a Luxury Coach with a dedicated Driver and a separate professional Tour Director.
Clause 1.1: The itinerary content, sightseeing inclusions, and hotel standards remain consistent across all tiers. A change in vehicle size does not constitute a "Significant Change" to the tour and is not grounds for full refund or cancellation.
2. LAND-ONLY PACKAGES & FLIGHTS
2.1 Land Only: Unless explicitly stated on the invoice, all tour packages are "Land Only." International and Domestic airfares are NOT included.
2.2 Flight Delays: The Company is not responsible for missed tour starts due to flight delays or cancellations. If you miss the scheduled transfer on Day 1, you are responsible for your own transport to the hotel or the first meeting point.
2.3 Departure & Return: You are responsible for booking flights that align with the tour start/end dates. We recommend arriving 1 day early to account for potential travel disruptions.
3. VISA & DOCUMENTATION
3.1 Client Responsibility: Obtaining the correct visas (Schengen, UK, Turkey, China, etc.) is the sole responsibility of The Client. The Company provides a "Booking Confirmation Voucher" for visa purposes only after the deposit is received.
3.2 Visa Refusal: If your visa is rejected:
More than 45 days before departure: Standard Administrative Fee of $100 per person applies.
Less than 45 days before departure: Standard Cancellation Charges (See Section 5) apply. Visa rejection is not a valid reason for a waiver of cancellation penalties. We strongly recommend purchasing "Cancel for Any Reason" travel insurance.
4. PAYMENT SCHEDULE
Deposit: A non-refundable deposit of 20% of the total tour cost is required to secure your seat.
Final Payment: The remaining balance is due 30 days prior to the tour start date.
Late Payment: If payment is not received by the due date, The Company reserves the right to treat the booking as cancelled and forfeit the deposit.
5. CANCELLATION POLICY
If you wish to cancel your booking, written notification is required. Cancellation charges are calculated based on the date we receive your notice:

6. HOTELS & ACCOMMODATION
6.1 Standards: Hotels listed in the itinerary are intended to be used. However, The Company reserves the right to substitute hotels with a similar category (e.g., substituting a 4-Star for another 4-Star) due to availability or operational reasons.
6.2 City Taxes: Unless specified, Local City Taxes / Tourism Dirhams are NOT included and must be paid by The Client directly to the hotel in cash upon check-in (approx. €3–€7 per person/night in Europe).
6.3 Configuration: Triple rooms in Europe/Turkey are often a Double bed + a Rollaway bed. Space may be limited.
7. ON-TOUR CONDUCT & PUNCTUALITY
7.1 Punctuality: Our Join-In Tours operate on a strict schedule to respect all global travelers. The bus will depart at the designated time. If you are late, the bus will not wait, and you will be responsible for catching up with the group at your own expense.
7.2 Luggage: Each passenger is limited to 1 Large Suitcase (23kg) and 1 Carry-on bag. Excess luggage may be refused if the vehicle capacity does not allow it.
8. LIABILITY & FORCE MAJEURE
8.1 Liability: The Company acts as an aggregator for transport, accommodation, and sightseeing. We are not liable for injury, loss, or damage caused by third-party suppliers (hotels, bus companies, airlines).
8.2 Force Majeure: The Company is not liable for failure to perform obligations due to events beyond our control, including but not limited to: natural disasters, war, strikes, pandemics, or political instability. In such cases, The Company will offer a Credit Note for future travel but is not obligated to provide a cash refund.
9. TIPS & GRATUITIES
9.1 Exclusions: Tips for the Tour Director and Driver are NOT included in the tour price.
9.2 Recommendation: We suggest a standard gratuity of $5–$8 per person/day for the Driver and $8–$10 per person/day for the Tour Director, paid at the end of the tour.
